OpticSaaS guides · For optical shop owners and practice managers

How to choose optical practice software

Start with the work your team does every day: booking an appointment, recording a prescription, selling a frame and tracking an order through delivery. A useful comparison follows that complete workflow rather than counting features.

1. Test a complete customer visit

Ask each vendor to demonstrate a sample customer from booking through collection. Check whether staff can find the prescription, see the order status and produce a receipt without re-entering the same information. Use invented patient details for demonstrations.

2. Check inventory at the level you sell it

Bring examples of frame models, sizes and colours, plus your lens ordering workflow. Test receiving stock, making a sale, correcting a mistake and handling returns. For multiple locations, ask how transfers and location-specific stock are recorded.

3. Confirm your local requirements

A product available online may still need configuration for your country. Confirm currencies, tax calculation, receipt requirements, time zones and supported languages. Ask the vendor and your advisers about applicable patient-data requirements before uploading real records. Do not assume a product supports local insurance or electronic claims without a demonstration.

4. Review access and data ownership

Test separate owner and staff accounts. Ask which actions are restricted, how changes are logged, how backups are restored and how you can export your data if you leave. Request clear answers about data hosting and third-party services.

5. Compare the full operating cost

Compare the subscription alongside limits on locations, staff, messages and storage. Ask about payment-processing fees, migration, training and support. Confirm renewal and cancellation terms before committing to an annual plan.

A practical evaluation checklist

  • Run one appointment, prescription, sale and collection workflow.
  • Check stock corrections and branch transfers with realistic examples.
  • Confirm local configuration and required integrations in writing.
  • Test staff permissions and request an example export.
  • Agree on migration, training and support before launch.

Compare these requirements with OpticSaaS plans and the platform overview. Confirm the capabilities you need before moving your practice data.
